Frequently Asked Questions

Quick answers to the most common questions about Archivo. For full details, see our Terms and Conditions, Privacy Policy, Cookie Policy, and Refund and Cancellation Policy.

What is Archivo and who is it built for?
Archivo is a multi-tenant correspondence and records registry — a digital "Diwan" system — for any organization that needs to register, route, and track its official letters and documents. It covers incoming, outgoing, and internal correspondence with gap-free reference numbering, scanning with text recognition (OCR), routing to departments and users, contacts, clients and suppliers, confidentiality controls, audit logging, and reporting — all in one place, in Arabic and English.
Is there a free trial?
Yes. We may offer a free trial period for new customers. During the trial, the Service is provided on an "as is" basis with no charge. If you do not subscribe to a paid plan before the trial ends, your account and data may be suspended and later deleted in line with our retention practices.
How does billing work?
Subscriptions are billed in advance for each billing cycle. Payments are processed securely through MyFatoorah and other authorized payment providers. All fees are exclusive of any applicable taxes or duties.
How is my company's data protected?
Each customer receives an isolated, dedicated database — we call this database-per-tenant. We apply role-based access control, encryption in transit, audit logging, and regular review of access rights. Card details are handled by MyFatoorah and never stored on our systems.
Who owns the data we upload?
You do. You retain all rights and ownership of your data — your correspondence, documents, and records. We hold only a limited license to host, store, and process your data as needed to provide the Service, address technical or security issues, and comply with applicable law.
How do I cancel my subscription?
You can cancel at any time from your account settings or by contacting support. Cancellation takes effect at the end of the current billing cycle, and you keep access to the Service until that cycle ends.
Am I eligible for a refund?
Subscription fees are generally non-refundable. Exceptions include extended service unavailability directly attributable to our infrastructure, duplicate charges for the same billing cycle, and unauthorized charges caused by a system error on our side. Refund requests must be submitted within thirty (30) days of the charge.
What payment methods do you accept?
We accept payments through MyFatoorah, which supports major credit and debit cards as well as other supported payment options. Approved refunds are returned to the original payment method and typically take 7–14 business days to appear, depending on your bank.
Can I export my data after cancelling?
Yes. Your data remains available for export for thirty (30) days after the end of your subscription. After that period, it may be permanently deleted from our active systems, subject to our standard backup rotation.
Is Archivo compliant with data protection regulations?
Yes. We handle personal data in line with applicable data protection laws and recognized privacy principles. Our Privacy Policy describes the data we collect, the legal bases for processing, our sub-processors, retention periods, and the rights you can exercise.
